The Real Cost of Manual Follow-ups

Most businesses forget follow-ups. Not because they don't care, but because they're busy doing the work.
A lot of sales run on a simple pattern: someone gets a quote, says they will think about it, and then nobody checks back. People tend to stop following up early, often before the customer has decided. That gap is where much of what you spend on marketing goes to waste.
Why follow-up fails
- It depends on memory. The person who sent the quote is now on a job site.
- It feels pushy. So it gets put off until it feels too late.
- There is no system. Nobody owns "check back on Friday."
What follow-up is worth
You don't need a statistic. You can work it out from your own business. The calculator on this site uses a simple formula:
estimates per month × 12 × the share that never get a follow-up × your average job × 10%
The 10% is an assumption, not a fact. It says that if you followed up on the quotes that went quiet, about one in ten would turn into work. Change it to what you believe, and see what a year of silence costs you.
For example, 10 quotes a month, half of them never followed up, and a $1,000 average job gives about $6,000 a year. That is an illustration from the formula, not a claim about any business.
What to do this week
- Write down every quote you sent in the last 30 days.
- Mark the ones nobody followed up on.
- Follow up on each one with a short text or call. Ask if they have questions, not if they are ready to buy.
- Pick a rule for next time, such as "every quote gets a check-in two days later."
